How do I put a different person on a shift?

Say Deshawn is out sick Thursday and Priya is covering his 2 PM – 6 PM Info Desk shift instead. You don't need to cancel Deshawn's shift and build a new one for Priya — hand it straight to her.
The fast way: drag it in Day view
- Click Thursday's date header on the schedule to open Day view.
- Find Deshawn's shift on his row.
- Drag it down onto Priya's row. It saves the moment you let go — no dialog.
Tip
If dropping it there would double-book a desk Priya's already on, Day view flags it and asks whether to Bump the existing assignment or Keep both.
The dropdown way: from the shift dialog
- On the schedule, click Deshawn's shift to open Edit shift.
- Open the Person dropdown and choose Priya in place of Deshawn.
- Press Save.
Note
Either way, only the person changes. The date, time, desk, and any note on the shift stay exactly as they were — nothing is deleted or recreated.
Reassigning just one desk on a multi-desk shift
If a shift covers more than one desk, you don't have to hand off the whole thing to cover one part of it — swap out a single desk assignment right from the dialog.
- Click the shift to open Edit shift.
- Next to the desk assignment you want to hand off, click the ⇄ icon.
- Pick a replacement from the list. It's grouped by Free this time, Working today, busy then, and Off today, so you can see who's actually available before you pick.
- Save.
Note
Picking someone who's already busy or off during that window doesn't block you — it just asks you to confirm first, the same way it would if you'd typed their name in by hand. And if the desk itself is already taken for that window, you'll get the same overlap warning as anywhere else, with Bump or Keep both to choose from.
Everything else about the shift — the other desks, the times, any note — stays exactly as it was. Only that one assignment moves. This is the dialog equivalent of dragging one block onto another row in Day view; use whichever surface you already have open.
If it's a recurring shift
A drag in Day view only ever changes the one day you dropped it on — it never touches future occurrences, so it's always safe for a one-off swap.
From the dialog, though — whether you used the Person dropdown or the ⇄ icon on one desk — saving asks Apply your changes to…:
- Just this one — only this Thursday moves to Priya. Every future occurrence still belongs to Deshawn. This is the right choice for a one-time swap.
- All future — every upcoming occurrence that hasn't already been individually edited or canceled moves to Priya, from here on.
Tip
For a single day out, Just this one is almost always what you want. Save All future for when the shift is genuinely changing hands for good — or use it there specifically, since a Day-view drag can't make that pattern-wide change.
This is different from a coverage request
This is the admin move: you're the one deciding who covers the shift, and it takes effect the moment you save. If instead a staff member wants to offer up their own shift for a teammate to claim, that's the shift coverage request flow — it goes through offer, claim, and your approval instead of a direct edit.
