How do I import my schedule from a spreadsheet or another tool?

Last updated July 18, 2026

If your schedule already lives somewhere — a spreadsheet, a printout you can retype, or an export from another scheduling tool — you don't have to rebuild it by hand. The importer brings people and shifts in together.

  1. Go to Settings → Import data.
  2. Upload a CSV or Excel file in whatever format you have it — you don't need to reshape it first.
  3. Match your columns to ours — Kickstool suggests matches and you adjust anything it got wrong.
  4. Review the preview and confirm. Nothing is saved until you do.

Tip

Coming from another scheduler? Export your data from it (most offer CSV or Excel export), then upload that file here. If the export looks odd or the importer can't make sense of it, reply to any Kickstool email and a human will help you load it.

Only need to add people?

If you just want your roster in — no shifts yet — pasting a people list is quicker than a file import.

Starting from paper or a whiteboard?

Our free schedule template is a spreadsheet already shaped the way the importer likes: one row per shift, with person, desk, and times. Type your schedule into it once and upload the result.
