How do I control what staff can see and do?

Access in Kickstool has two layers: each person's role, and a handful of account-wide switches. The role decides what that one person can do; the switches set ground rules for everyone.
Layer 1: each person's role
Set when you invite someone, changeable anytime on the People page:
- Owner / Admin — run the library: settings, people, billing, reports, plus everything below.
- Scheduler — build and edit the schedule and handle time-off and coverage approvals, but no settings or billing.
- Staff — self-service: their own schedule page, plus requesting time off and using shift coverage where the switches below allow it.
- Viewer — sees the whole team schedule and Today board, changes nothing.
The role sets the ceiling; the switches below can narrow it for everyone at once.
Separately from the role, each person on the schedule is typed staff or volunteer — that's about how they appear on the schedule, not what they can do. See What can each role do? for the full comparison.
Layer 2: account-wide switches
They live under Settings → Permissions (admins only).
You can control:
- Who can view the schedule — admins only, staff, or staff and volunteers.
- Who can request time off.
- Whether time-off requests need admin approval.
- Whether shift-swap requests are allowed — and, when they are, whether staff can offer only shifts covered by confirmed time off, or any of their upcoming shifts.
- Whether affected staff are emailed on schedule changes.
- Which day your week starts on.
- Go to Settings → Permissions.
- Flip the switches to match how your library runs.
- Changes take effect right away.
Tip
Smaller libraries often open things up (everyone sees the schedule, swaps allowed); larger systems tend to require approval. There's no wrong answer — adjust as you go.
